When you add a custom section (row) in a Financial Statement Layout, NetSuite lets you filter the accounts that will appear in that section by “Department”, “Class”, “Location”, and several account-identifying fields such as “Account Name contains/equals”. Criteria based on transaction values (e.g., balance) or meta data like the account-creation date are not offered. Therefore, Department and Name of Account are the valid criteria.

NetSuite’s Journal Entry Approval feature keeps entries in Pending Approval status; they do not hit the general ledger until an authorised user approves them. Approval authority is granted by the separate “Approve Journals” permission, which is distinct from “Make Journal Entry”. When the entry is finally approved it posts to the accounting period that corresponds to the transaction’s Date field (set at creation or later editing); the approval date itself never determines the posting period. Subsidiary visibility continues to follow the role’s subsidiary restrictions, so possession of Approve Journals alone does not expose journals for all subsidiaries.

NetSuite’s Write Check transaction posts an expense (Debit: expense or asset account) and the offsetting reduction of cash (Credit: bank account) in a single step. It is therefore the appropriate tool for one-off or petty-cash-type outlays made immediately, because no prior vendor bill or purchase order is required.

On the Customer Payment form, NetSuite lets you settle open invoices and, on the Credits sub-tab, mark existing Credit Memos and Customer Deposits to be applied against the payment amount. Selecting either type reduces the net amount the customer needs to pay or clears outstanding credits/deposits. Refunds and Cash Sales are separate outbound or already-paid transactions and therefore cannot be “applied” to a new payment record.

• A – On an account record you create a child account by choosing a parent in the “Subaccount of” field; this establishes the hierarchy.

• C – If the “Summary” box is cleared, the parent account is posting; if the box is checked the parent becomes a non-posting (summary) account. Thus, a parent can be either posting or non-posting.

• E – Selecting the “Summary” box turns the account into a summary (non-posting) account, preventing any transaction, including reversing journals, from being posted directly to it.

B. Summary (non-posting) accounts accept no postings at all, including reversing journals; the checkbox blocks posting rather than permitting it.
